Minutes of Committee Meeting September 2024

  1. Attendance:
    • Attendees: Mike, Lester, Leo, Al, Ingrid, James, Rupert
    • Apologies: Stephen McD
  2. Review and Approve Minutes of Last Meeting
    • Proposed: Lester Seconded: Mike
  3. Matters/Actions Arising:
    • End of year report to Cycling UK - Leo/James: Leo & James to meet on Teams!
    • Clothing coordinator: Need to find the supplier who can supply, and pull together an order. Suggestion is a minimum of 10 items to order from Scimitar. Mike to approach Alex N about possibly redesigning, as the feeling is it is quite out-dated.
  4. Officer's Reports:
    1. Chair: Nothing new to report
    2. Secretary/IT Officer: Website feedback has been positive. A lot of new members out on various rides, most of whom have come through either friends of friends or the website.
    3. Treasurer: £2475.22 in the bank account. No change from the last meeting.
    4. Social Secretary:
      • CMC food is off indefinitely, unfortunately.
      • Wetherspoons, Tewkesbury get together for all Sunday rides on 6th October. Needs to be published on Facebook & WhatsApp.
      • Skittles to be organised in December, inviting County
      • Curry to be organised in late January/early February at an alternative venue.
    5. Runs Secretary: Runs list was successfully published at the beginning of August. Need to amend A ride for 6th October meet-up.
    6. Audax:
      • Surpluses from the 2023 and 2024 rides are ~£184 and £32. We need to agree on a charitable organisation. In 2022 we supported Ukraine through C&CCC. Suggestions included Sue Ryder and the Leckhampton hospice, or splitting between the West Country and Midlands Air Ambulances.
      • The lower 2024 figure reflects that numbers were lower and the course had to be driven to deliver Control packs. In 2024 we charged £7 entry; for 2025 suggest a minimum of £8 for all and possibly £9 for the 200, in line with other Calendar Audax events.
      • Proposal is to give the monies to Sue Ryder.
      • Suggestion with regards to the event price is £10, and again any profit goes to charity.
    7. Publicity Officer: Nothing to report
    8. Welfare Issues: An ambulance had to be called for a member who had fallen off. He's fine, and back cycling.
  5. Any other business:
    1. Members:
      • We've had a lot of new potential members join us recently. Quite a few have joined Cycling UK, but there are probably some that haven't.
      • Suggestion that we remind everyone that you can only attend 3 pre-joining rides, for insurance purposes.
      • James to check with County as to the status of County members with Cycling UK.
    2. One Life ID: suggestion that we encourage members to sign up to One Life ID, as it means, in emergencies, the data can be used to contact next of kin etc. Al to investigate.
  6. Next meeting: Monday 4th November 2024
